01Who we are

OCTHO Agency LLC ("OCTHO," "we," "us") designs and runs digital systems for businesses: websites, CRM, automations, messaging and measurable marketing. We are based in Washington, DC, United States, and operate the website octho.agency.

This policy explains what information we collect, how we use it and what choices you have. It applies to our website, our contact form and our messaging channels (WhatsApp, text, chat and email).

02Information we collect

Information you give us:

• Your name, your business name and type, your email and your phone or WhatsApp number.
• The plan you are interested in, how you prefer to be contacted and what you tell us about your case.
• The messages you send us by WhatsApp, text, chat or email.
• If you are a client, the billing details needed to charge for our services. Payments are handled by a payment processor; we do not store full card numbers.

Information collected automatically when you visit the website:

• Device and browser data, IP address, approximate location, pages visited, time on site and where you came from.
• Interactions such as clicks, scrolling and cursor movement, recorded by Microsoft Clarity to understand how the site is used.

If you are a client, we also handle information about your own customers on your behalf (for example, contacts that arrive in your CRM). In that case we act as a service provider and use that information only to run your system.

03How we use your information

• To reply to your messages and prepare a proposal for your business.
• To provide, manage and improve the services you hire us for.
• To send you messages about your request, appointments, account and service.
• To bill for our services and keep our records.
• To measure what works on our website and in our ads.
• To comply with the law and protect our rights.

04Artificial intelligence agents

Fred, Leo, Tomás and Valeria are artificial intelligence agents. When you message our channels, an AI agent may reply to you. To generate those replies, the content of your conversation is processed by AI model providers that work for us under contract.

A person on our team reviews projects and important decisions. Please do not share sensitive information through these channels, such as card numbers, passwords or health information.

05Text messages

If you give us your number and agree to receive messages, we will send you texts and WhatsApp messages about your request, appointments and service. Message frequency varies. Message and data rates may apply. You can reply STOP at any time to stop receiving them, or HELP for help.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

06Who we share it with

We do not sell your personal information. We share it only with providers that help us operate, under contract and for the purposes described here:

• GoHighLevel and LeadConnector, for CRM, messaging, calls and automations.
• Cloudflare, to host and protect the website.
• Google, Meta and Microsoft, for measurement and advertising.
• Artificial intelligence model providers, to generate replies.
• Payment processors, to charge for our services.

We may also share information when the law requires it, to protect our rights or as part of a sale or merger of the business, always subject to this policy.

07Cookies and measurement tools

We use cookies and similar technologies from Google Analytics, the Meta Pixel and Microsoft Clarity to understand how the site is used and to measure our ads. The Meta Pixel may be used to show you OCTHO ads on Facebook and Instagram.

You can block or delete cookies in your browser, install the Google Analytics opt-out add-on and adjust your ad preferences in your Meta account. We honor the Global Privacy Control signal where the law requires it.

08How long we keep it

We keep your information for as long as needed to handle your request or provide the service, and afterward for as long as the law requires for accounting, tax or legal purposes. If we do not end up working together, we delete or anonymize your contact details once they are no longer needed.

09Security

We use reasonable measures to protect your information, such as encrypted connections and limited access to our accounts. No system is completely secure, so we cannot guarantee absolute security.

10Your choices and rights

• You can ask us to see, correct or delete your information.
• You can stop receiving texts by replying STOP, and emails with the unsubscribe link.
• If you live in California or another state with privacy laws, you may have additional rights, such as knowing what data we hold, asking us to delete or correct it, and opting out of sharing for personalized advertising. We will not treat you differently for using these rights.

11Children

Our services are for businesses and are not directed to children under 16. We do not knowingly collect information from children. If you believe a child has given us information, contact us and we will delete it.

12Changes to this policy

We may update this policy. When we do, we will change the "Last updated" date and, if the change is significant, let you know through a reasonable channel.
